Film Site Requests
Thank you for your interest in filming at Wheatsville!
We look forward to hosting your shoot! Please read through these guidelines and submit a request in order to be considered.
Who Can Film on Site

- news and tv
*As with our donations, groups must be non-sectarian and non-partisan.
What are the Requirements?
- 2 week notice minimum
- proof of liability insurance
- your own production crew
- your own equipment
- complete inquiry form
Cost & Fees
Overnight (10pm -7am): $2,000 starting rate plus $50/hr for a Wheatsville Employee to host. Any partial hours will be rounded up if over 15 minutes beyond the hour.
Slow hours (7am – 10am & 7pm-10pm): $3,500 starting rate
Peak hours: (10am-7pm): $5,000 starting rate
Wheatsville Staff Host: $50/hour
Wheatsville Staff Actors: $100 flat fee per actor for up to 3 hours assisting + $25/hr beyond 3 hours. Any partial hours will be rounded up if over 15 minutes beyond the hour.

Payment
Once you have been approved, please fill out your portion of the film site agreement provided below and include this with your payment.
- Site fee payments must be received before production begins
- Payments may be dropped off at the Hospitality Desk or mailed to: Wheatsville Food Co-op 3101 Guadalupe St., Austin, TX 78705. If mailing, please allow ample time for check to be received before the event. You cannot film if we do not have a check.
- Payment to Wheatsville Actors must be made separately, made out to the employee(s) via check
- Base film site fee checks can be made out to: Wheatsville Food Co-op
- Please include a signed copy of the film site agreement with payment.
- if you exceed your booking time frame, an updated contract will be created and you will be charged accordingly
Cancellations / Refunds
If you need to cancel your shoot, please let us know as soon as you can. Cancellations made less than 48 hours from the date of event that effect Wheatsville staff schedules (overnight host or actors) will be subject to a 25% cancelation fee.
Usage
Please keep in mind that we are a fully functioning grocery store and our customers come first. If they need to get to a product and you are able (not mid-shot), please allow them to do so.
You must:
- be considerate to customers trying to get their shopping done
- be respectful with Wheatsville staff & customers
- stick to your scheduled time frame (or risk being charged more)
- clean up after yourselves
You may:
- rearrange products in minor ways- notice is preferred
- bring props with approval
- purchase Wheatsville in your shoot
You may not:
- Drink beer, wine or any other alcohol on-site (yet)
- Bring food or drinks in from outside vendors
- Use damaging tape or nails on the walls
Cleaning
If you rearrange things, please return them to their original location. Please clean up any messes made by your crew – cleaning supplies will be available. Please do a walk through of the area with a manager on duty before leaving.

Contract
