Event Space Rentals

Rent the Bluewillow LoungeThank you for your interest in our Bluewillow Lounge!

We look forward to hosting your meeting, party or get-together. The following guidelines are for people that would like to reserve the room for private gatherings with the garage door rolled down. 

Groups of 12 or fewer are welcome to push tables together at any time. Tables will not be reserved or held in advance of your meeting unless the room has been formally reserved. Usage is at the discretion of store management. As always, please be courteous and considerate to those around you.

Rentals are made on a first come, first served basis. Wheatsville sponsored events and classes will take priority over rentals.

Who Can Rent the Room

We welcome many types of events in our lounge! Most commonly:

  • community groups
  • non-profit organizations
  • private groups and clubs
  • school groups
 

*As with our donations, groups must be non-sectarian and non-partisan.

Who Cannot Rent the Room

  • partisan political organizations
  • sectarian religious organizations

Cost

Cost is dependent on the event taking place.

Free & Open to the Public (room remains open & anyone may share the room)

No cost! We just ask that you clean up after yourselves.

Any damages that may occur during the event are subject to be billed to you

Private Event (meetings, birthdays, dinners, etc) :

Rental Fee: $50/hour

Speaker & Microphone Rental: $75

Owner Discount: Owners of the co-op are given a $25 discount per hour.

Cleaning Deposit:  Should the room be left in disarray, your card on file will be charged a $200 cleaning fee. If you are paying by check, please provide a separate $200 cleaning deposit check. This check will not be deposited unless the room is left in disarray.

Ticketed & For-Profit Events

Rental Fee: $100/hour

Speaker & Microphone Rental: $75

Owner Discount: Owners of the co-op are given a $25 discount per hour.

Cleaning Deposit:   Should the room be left in disarray, your card on file will be charged a $200 cleaning fee. If you are paying by check, please provide a separate $200 cleaning deposit check. This check will not be deposited unless the room is left in disarray.

Payment

Once you have been approved, you will be sent a rental agreement and payment link via email.

  • Payments must be received at least one week in advance of your event. Payments not received by the due date will result in cancellation.
  • Payment information will be saved on Stripe only to be used in the case that the cleaning fee is required or you wish to extend/exceed your rental time frame.
  • Should you wish to pay via check instead of payment link: Please drop off at least one week prior to your event at the Hospitality Desk at Wheatsville Food Co-op 4001 South Lamar Blvd., Austin, TX 78704. 
  • If you are paying via check, please be sure to include a separate check of $200 for the cleaning fee deposit. This will NOT be deposited unless the room is left in disarray. 

Cancellations / Refunds

If you need to cancel your event please let us know as soon as you can. Cancellations made less than 48 hours from the start of event will be subject to a $50 cancelation fee.

Usage

The space is a limited use rental. The kitchen area is not included unless given prior permission by Wheatsville.  Please include any special requests or requirements in your application.

Included in the rental:

  • For Private & Ticketed Events: Garage door rolled down 30 minutes prior to event (please let us know if more time is required.)
  • Seating for up to 30 people
  • ADA entrance and restroom facilities
  • Recycling, compost and waste bins
 

You may:

  • Consume food and drinks purchased before your event from Wheatsville (including alcohol)
  • Bring your own presentation equipment (we have a TV with an HDMI hook up)
  • Bring your own music or audio equipment (please maintain a reasonable volume)
  • Move tables and chairs around
 

You may not:

  • Bring food or drinks in from outside vendors
  • Use tape or nails on the walls
  • Use the kitchen area behind the curtain unless given prior permission
 

Cleaning
You will be given a cleaning checklist upon arrival. Please have a manager on duty run through it with you and sign it before you leave for the night. If standards are not met, your card on file will be charged a $200 fee or your $200 cleaning fee check will be deposited. Any damages that exceed $200 will be billed to you.

Contract

 After we contact you and your request is accepted you’ll need to fill out the rental agreement. Please print, fill out your portion, and mail or deliver this room rental agreement along with your payment.
